In order to cope with the immense amount of data in the information age, the use of spreadsheets and databases is important and extremely useful for management, manipulation and data storage. Despite their differences, spreadsheets and databases can be complementary methods of data storage. A lot of the time one is used to support the other, and so, if you are familiar with one, you will find the other easy to learn.

All About Spreadsheets

Common programs: Microsoft Excel, Googlesheets, etc.
  • Stores data in cells by rows and columns
  • Manipulates data for stats, computing and modeling
  • Has a range of automated functions
  • Very compatible for presentations and paper reports
  • Used within applications only meant for spreadsheets

Downsides of the spreadsheet → A large amount of data can become impractical and difficult to make mass alterations. → Filter capabilities are limited → Lack of data integrity and sparse management control

All About Databases

✅ The tables inside Notion are databases!

Database technologies: Microsoft Access, Oracle, MySQL, SQL Server, etc.
  • Stores data in "records." a.k.a column-based tables rather than cell-based
  • Capable of storing a lot of raw data
  • Several people can access the same database
  • Very compatible for sharing and reporting
  • Used inside applications built on top of it, providing user access
  • Built/managed by programmers and web developers primarily
    • Program languages that build database applications: Java, PHP, ASP, etc.

Downsides of the database → Not easy to use in regards to complex data manipulation → Small range of automation functions
